When hiring a caterer for your event, there are a few things to consider to make your celebration unforgettable. First and foremost, the quality and presentation of the food you order clearly define the atmosphere of the event. It is important to keep in mind what your guests may be expecting and what kind of image you will be portraying. It is crucial to have a good idea of your budget. Deciding where to spend more money and where to trim back determines your priorities for the party. Although it may be fun to have more balloons, a bigger tent, or more luxurious car rental, it is the quality and quantity of the food that your guests will remember.
Here is a list of "To Dos" to use as a guide when planning an event:
- Select a date and time for the event.
- Determine the size of your party and approximate number of guests.
- Determine the atmosphere for the event. Is it formal, casual? Would a particular theme work well? Think about the color scheme you would like to use.
- Research possible event locations and select the site. Allow ample time to reserve the facility with a deposit. Event venues usually book out early. In Monroe County, there are many locations that are ideal for a celebration. Monroe County Parks has many lovely sites that can be affordably rented. In Webster, there is the White House Louge on Lake Ontario, which is very popular for wedding receptions or corporate events. On the west side of the county, Black Creek Park has many wonderful lodges available. East Avenue mansions such as the Eastman House and the Academy of Medicine are available for corporate events while the Strong Todd House and the and the AAUW Hall are available for private events. - Select a caterer. (Place Tasteful Connections on the top of your list!) Ask to see menus.
- Discuss details of the event with the caterer. Ask for ideas that can be used to enhance the atmosphere you are working to create. Are there special menu options? Will the caterer customize to meet your needs? It is important to find a caterer that is willing to work with you but also for you to be realistic about what you can afford within your budget.
- Make arrangements for other services you will need. Many of these services can be arranged or recommended by the caterer.
- Invite your guests!
- Reconfirm plans with all necessary parties. Confirm that the caterer has a final count for the celebration.
- Sit back, relax, and enjoy the wonderful affair you have created!
Planning an event can be both energizing and very stressful. Here are some final tips for working with the caterer: Always get a letter or contract. Come to an agreement on all fees, gratuities, extra charges, payment schedules and cancellation policy. For caterers, a standard payment schedule is 50 percent as a down payment, with the balance due immediately following the event. Tasteful Connections follows this policy.
Finally, make sure your caterer is professional in appearance, attitude and in preparation of the final product, you food. Communicating with him or her on a mutual respect basis will help provide your guests with a comfortable, exciting atmosphere!
